Bring overdue patients back, without cold calls or generic blasts

RecallIQ, part of DentalIQ™, builds the overdue list from each patient's last visit and recall interval, so a stale recall date never hides anyone. It gives your team a daily call list and drafts a personal text or email for each patient, which the team approves before anything is sent. Every patient who comes back is tracked.

Why it matters

About two in three adults (66.7%) had a dental exam or cleaning in the past year, according to the CDC's National Health Interview Survey. Roughly one in three didn't.

How it works

  1. 1An accurate overdue list. Overdue means the last visit plus the patient's recall interval, or your practice default if none is set. A recall date imported from your practice software counts only if it's later than the last visit, so a stale date never hides anyone. Patients already booked, inactive, or marked as moved, seen elsewhere, not to be contacted or deceased are left out.
  2. 2The right patients first. Patients about to become hard to bring back come first (those nearing 18 months since their last visit, a threshold your practice can change), then the longest overdue.
  3. 3A daily call list. Up to 25 patients a day, each with a phone number, not contacted in the last 14 days and not set for a later call-back. Log each call in a click or two: reached, voicemail, no answer, wrong number, declined, booked, call back later, or a note.
  4. 4Personal messages, approved by a person. The AI drafts each text or email from the patient's history with the practice: their provider, how long it's been, and how often they've been contacted. A message that names a treatment, a tooth or a diagnosis can't be sent. The team edits and approves every message before it goes out.
  5. 5Every return tracked. Contacted, booked, came back (set automatically when the patient checks out in DentalIQ after being contacted) and recovered, once the team enters the visit amount. Every message and call stays in the patient's recall history, with monthly counts, including patients who came back without being contacted.

What it doesn't do

  • It doesn't send anything without a person approving it.
  • It doesn't send booking links or book on its own: your team books the visit, and can do it from the call log, on DentalIQ's schedule.
  • It doesn't promise a number of patients recovered.
  • It doesn't write back into your practice software.
  • Texts go only to patients who've agreed to receive them, and anyone who replies STOP gets no more texts. Each email is a plain personal note with an unsubscribe link and your practice's address.

Where the results go

The monthly counts (contacted, booked, came back, recovered) go into ReportIQ, and patients waiting for recall show in the morning briefing.

Plan and price

RecallIQ is part of Platform + RecallIQ ($799/month plus a 10% recovery fee) and Practice OS ($999/month). The fee applies only to patients RecallIQ contacted (a message or a logged call) within 90 days before they came back: 10% of that first returning visit only, based on the paid claim when there is one. On the free trial you can see your overdue list and try drafts; sending starts on a paid plan. See all plans.

Frequently asked questions

How does it decide who's overdue?

From your patient list, imported from your practice software, with last visits updated when patients check out in DentalIQ. Overdue is the last visit plus the patient's recall interval.

Does the AI send messages on its own?

No. Every message is a draft until someone on your team approves it.

Does it use clinical details in messages?

No. The AI sees only the practice, the provider, how long it's been and how often the patient has been contacted, and a message that names a treatment, a tooth or a diagnosis can't be sent.

When is the recovery fee charged?

Only for a patient RecallIQ contacted within 90 days before their visit, once, on that first returning visit. It's based on the paid claim, or the amount the team entered if there's no claim, billed after the 5th of the following month, and you can dispute a fee before it's billed.

Does it work with my practice software?

Alongside it. You import your patient list from a CSV or Excel export, and visits booked from RecallIQ go on DentalIQ's schedule, not into Open Dental, Dentrix or Eaglesoft.
